Staff guide: Sharing Zoom recordings – Quick Guide

If you have recorded your Zoom session, your recording(s) will be ready to review and publish in the Cloud Recordings tab of the Canvas course you scheduled the session in.

Your recordings will take a short while to process once the live session has ended, and you will receive an email to inform you that the processing has finished.

Please note that only the original host of the session will receive the email notification and will be able to manage the recordings.

1. Accessing your recordings

  • Go to the Canvas course that the session was scheduled in
  • Access the Zoom link in the course menu
  • Click the Cloud Recordings tab
  • A list of your recordings will show
  • Click on the name of a session to view, download, share link or edit

You may have more than one recording if you recorded several parts of the session. These will be indicated by separate 'boxes'


2. Editing recordings

  • Once you have identified the recording as above, click on the name of the session
  • Click on the play button within the recording's 'box'
  • Click on the scissors icon in the bottom right of the recording viewer
  • Follow the onscreen instructions

3. Publishing recordings

  • Access and identify your recording as above
  • On the Publish column, single-click the switch to publish
  • This will now be visible to students on the course
  • Clicking the switch again will unpublish the recording, hiding it from students


4. Renaming recordings

  • Go to
  • Click on Recordings
  • Find your recording
  • Click on the title (Topic) of the recording
  • Click on the 'pencil' icon to the right of the Topic title
  • Change the text of the recording
  • Click Save

If you have multiple recordings for the one session, they will be called Recording 1, Recording 2, Recording 3 etc.


5. Deleting recordings

If you only have one recording for the session, or would like to delete all recordings for the session, then you can delete within Canvas.

  • Identify the recording under Cloud Recordings as described in section 1 above
  • Click the Delete button next to the recording

If you have multiple recordings for the one session and would like to delete just one of these, you can delete in the Zoom web portal.

  • Go to
  • Click on Recordings
  • Find your recording
  • Click on the title (Topic) of the recording
  • Click the 'bin' icon for your recording


I'm getting email alerts every day that a Zoom recording will be deleted in 7 days.

You are getting these emails as you have some pending recording deletions. You can see these under These have been manually deleted and therefore have 30 days until they are removed permanently. You can recover if you need to.


6. Sharing recordings

When you publish a recording, by default this will be visible to all students on the course under the Cloud Recordings tab. However you can share a link to this video too.

  • Find your recording as in section 1 above
  • Click on the Share link
  • A box will appear to show the details of the session, the recording link, and the passcode which students will use to access the recording
  • Click the Copy to clipboard button at the bottom
  • Paste this information into an email, a Canvas page or announcement, or wherever you would like to share this

Note that recordings can only be shared with users who have LJMU accounts.

To share your recording in a Canvas page:

  • Find your recording under the Cloud Recordings tab in your Canvas course
  • Click the Share link, and click Copy to clipboard
  • Create a new Canvas page and paste in this text
  • It will include all details for the session including the passcode
  • The link doesn't work in my new page?
    • When you paste in the recording details, place your cursor after the recording url an press enter on the keyboard. This will turn the plain text into an active link.
